Reports - Schedule a dashboard as a report

With our new dynamic reporting feature, you can tailor dashboards with the widgets you need and schedule them as a report for automated delivery to administrators and designated teams. This means you can have multiple reports per touchpoint, ensuring that everyone receives the most valuable information relevant to their roles, precisely when they need it.

1. Set up a report

The basic principle to set up a report, is that you have a dashboard you want to send to certain recipients on a regular basis. You can learn how to set up a dashboard and which widgets you can add in this article. Make sure to add the relevant widgets to your dashboard to ensure that everyone receives the most valuable information relevant to their roles

NOTE: Only administrators can set up reports. You can set up multiple reports for the same touchpoint based on the same or different dashboards.

There are three ways to set up a report:

  1. Starting from the dashboard you want to schedule as report by clicking the option "Schedule a report" in the dropdown menu of the dashboard.

  2. From the touchpoint settings of the touchpoint for which you want to schedule a report.


  3. Directly in the settings where you can choose to schedule a report for every touchpoint of your environment (see below how to get there).

Once you've followed one of these three steps, you will end up in a little wizard to finish the set-up of your report.

1a. Step 1: Report

First of all, you need to define the touchpoint and dashboard for which you want to set up a report.

  • In case you started from a dashboard, these will be pre-filled and not editable anymore.
  • If you started from the touchpoint settings, the touchpoint is pre-filled an you can choose any dashboard linked to this touchpoint for your report.
  • In case you started from the report overview, you first need to define for which touchpoint you want to set up a report, followed by the dashboard.

Next, choose whether your report is active or not. In case it's active, reports will be sent on the chosen schedule to the chosen recipients (next step) if there is data available. If a report is inactive, nothing will happen.

1b. Step 2: Schedule

In the next step, you need to choose

  • How often you want to send your report
    • Daily: sent daily at 6 (UTC)
    • Weekly: sent weekly on Monday at 6:30 (UTC)
    • Every two weeks: sent every other Monday (even weeks) at 6:30 (UTC)
    • Monthly: sent the first day of the month at 7:00 (UTC)
    • Quarterly: sent the first day of the quarter at 7:00 (UTC)
  • Who will receive the report. There are two types of recipients:
    • Administrators
    • Teams: every user part of the chosen team will receive the report notification.

IMPORTANT

Make sure the teams you want to send the report to have access to the dashboard the report is based on. Learn how to do this here.

2. Report actions

Report actions can be taken in the report overview. This page will show you an overview of all reports that were set up in your environment. You can also set up a new report from this page (see above). Follow these steps to get to the report overview:

Step 1: Click on Settings in the left navigation menu

Option 1: Click on the tile Reports on the overview page

Option 2:

  • Click on Notifications in the left navigation menu
  • Go to the tab Reports

2a. Edit

To edit a report, click the pencil icon at the right of the screen next to the report you want to edit. The wizard in which you set up the report will open again.

  • You will not be able to change the touchpoint and dashboard to which the report is linked. In case you want to change the touchpoint or the dashboard, you need to set up a new report.
  • You can update the status of the report, whether it is active or not. However, you do not need to go to edit mode to change this, since you can also directly edit this from the report overview.
  • The schedule on which the reports is sent and the recipients can be updated. Once saved, the changes will be taken into account immediately.

You can also edit the report settings directly from the dashboard. Therefore, you need to click on Edit report settings' in the dashboard menu. It will lead you to the report overview where you will only see the reports linked to this dashboard. From there on, follow the steps as described above the edit the report settings.

2b. Duplicate

To duplicate a report, click the two files icon at the right of the screen next to the report you want to duplicate. The wizard in which you set up a report will open.

  • You will not be able to change the touchpoint and dashboard to which the report is linked. In case you want to change the touchpoint or the dashboard, you need to set up a new report.
  • You can update the status of the report, whether it is active or not.
  • The schedule on which the report is sent and the recipients can be updated. Once saved, the changes will be taken into account immediately.

2c. Delete

To delete a report, click the trash can icon at the right of the screen next to the report you want to delete. From the moment you delete a report, it will not be sent anymore.

IMPORTANT

In case a dashboard is deleted to which a report is linked, this report will be deleted as well.

2d. Go to the latest report

When clicking the eyes icon, it will lead you to the dashboard with the date range of the latest sent report. In case no report is sent yet, the eye icon is not available for this report.

3. Report notifications

According to the chosen schedule, report recipients will receive an email notification when a new report is available. The View report button in the email will lead you directly to the platform, and after logging in, you'll see the dashboard linked to the report with the correct date range.
